The 3 pillars of a digitally comfortable holiday.

Introduction

As the holidays approach, Process Delight brings a touch of digital innovation to one of Flanders' most beloved traditions. In this monthly newsletter, we go over how we worked with this international and well-known parcel distributor, who preferred to remain anonymous, to optimize a large-scale project through human-scale digital transformation.

Challenge

This client faces the same mission every year: to make children worldwide happy by delivering all kinds of packages. A great mission, but also a huge logistical challenge. How do you make sure that every package arrives on time and at the right place? And how do you keep an overview of all orders and communication with stakeholders? These are the issues for which this new customer came knocking on Process Delight's door.

Multinational or SME, the principle we follow in guiding companies in their digital transformation always remains the same: the 3 pillar structure of process automation, data & document management and communication. This allows us to digitize to suit employees, leading to minimal digital stress, employee satisfaction and increased productivity. 

How did we get started?

1. Process Automation

After mapping all stakeholders, dependent tasks and processes, we were able to use advanced project management software to coordinate the myriad tasks of package delivery. 

The tool? Ishtar.Projects, an application that allows easy assignment of tasks, determines delivery routes and provides an overview of all deadlines and priorities. This allowed every package to arrive at the right time and place, with minimal human intervention.

2. Data & document management

A big problem for our client was also the huge amount of paper documents. After process automation, the next challenge was to digitize this large amount of documents - the many wish lists - and store them in a central cloud structure.

Linking metadata to these wish lists also sped up the search process considerably. An additional benefit to the above project management software? It is perfectly compatible with such a central cloud structure, thanks to its compability with Microsoft. Thus, the laborious search for which wish list belongs to which child is now completely over.

3. Efficient communication

A final but very important challenge for employee digital comfort: streamlining internal & external communications. Mail and letter traffic were replaced with real-time communication tools from Microsoft Teams, again so that all data on projects is collected in one central database and so that employees could better focus on their core tasks.

Another important aspect was determining who has access to what information. For internal employees, there was direct access to the SharePoint environment. External employees, such as toy giants, were given access to a web portal linked to the SharePoint environment. Find out more about this system in this blog!

Conclusion

The result? The fastest delivery of parcels in living memory, significantly fewer errors and above all: lots of happy kids and employees! This outcome is obviously a result of collaboration, co-creation and innovative thinking on both sides. Only then could we transform digitally on a human scale and the many employees could focus on what really matters: spreading joy and happiness.
